Army Program Specialist (Administrative Program Support - MR06)

The Army Program Specialist is the initial contact for the ROTC program, alumni, current and future students, centers of influence (parents, high school officials, etc.), outside agencies, and departments within and the University. The position functions as the sole support staff for a unit of 2 Army personnel, 1 government civilian, 1 Active TN National Guard Recruiter, and 1 government contractor. The Army Program Specialist assists in managing the department's university budget and endowment/scholarship accounts.
Additionally, the Army Program Specialist position coordinates calendars, arrangements for meetings with other colleges/departments, and special events hosted by the military science department on campus. The position interfaces with several Army agencies located at Ft. Knox, Kentucky, as well as a host of military agencies located within and outside the state of Tennessee.
Duties and Responsibilities:
Office Operations
Manages and reconciles all ledgers; orders office supplies and equipment; prepares invoices and personal reimbursements for approval by Department Head; maintains departmental equipment and space inventory records; responds to/direct telephone calls and emails for Department Head and other staff; types office correspondence for department; manages employee parking and university issues; and manages functions of department Sharepoint.
Coordination
Coordinates all ceremonies and special events for the Military Science and ROTC program (Dining Out, Commissioning Ceremonies, JROTC Day); plans and coordinates office space, equipment utilization and upgrades; coordinates and manages scholarship interviews for department; assists Department Head with marketing and advertising activities as needed; and assists with the on-boarding of new adjunct faculty.
Military Science/ROTC Program Recruiting
Tracks all prospective Cadet correspondence; responds to walk-in, email, website and phone call inquiries regarding the Military Science and ROTC program and provides personalized and accurate information; guides applicants through UTC admissions process as needed, and provides realistic contracting timeline for prospective Cadets; helps coordinate recruiting events and fairs for the program; helps manage the ROTC National Scholarship process, including helping prospective Cadets access and complete the application, schedule interviews, and accept the scholarship reward; and helps facilitate the contracting process for ROTC Cadets.
Military Science/ROTC Student Advising
Works with Military Science Department Head and instructors to manage the application, advising, and retention of Military Science Students; and works with Military Science Department Head, instructors, and undergraduate advisors to advise students in timely progression through their program and military science, including the 104R academic plan.
The ideal candidate will possess the following:

Minimum Qualifications: High school diploma or GED and two years of professional experience with coordinator and/or supervision; and experience with handling sensitive and/or confidential information.
Preferred Qualifications: Associate's degree in Business or Office Management; familiarity with military organizations; and CPS or equivalent training or experience.
