The Division of Professions is responsible for the licensing of over 503,000 professionals. These professions include architects and interior designers, asbestos consultants, athlete agents, auctioneers, barbers, building code administrators and inspectors, community association managers, construction contractors, cosmetology, electrical contractors, employee leasing companies, geologists, home inspectors, landscape architects, mold assessors and remediators, pilot commissioners and veterinarians. Housed within the division is the Bureau of Education and Testing and the Florida Building Commission.

The Work You Will Do

This position assists the Senior Management Analyst Supervisor with managing contracts, preparing rule making packets, conducting training, identifying process improvements for the division, and completing special projects for the Director’s Office and board offices as needed.

Your Specific Responsibilities

  • Assist Supervisor/Contract Manager in the preparation and maintenance of contract files.
  • Serve as backup to all professional board office positions in the Division of Professions, duties including but not limited to preparing agendas, processing applications, preparing final orders, and traveling to board meetings to conduct the business of the board.
  • Assist the Rulemaking Coordinator with preparing rulemaking packets, research related to rulemaking and publication of notices in the Florida Administrative Register (FAR).
  • Assist Supervisor in monitoring/tracking application related issues and corresponding with the appropriate boards and divisions for compliance or resolution.
  • Prepare and maintain the Division Accomplishments and submit for posting to the Division Performance page.
  • Review and oversee the Escalation Report for Professions. Send out reminders for escalations that need to be resolved.
  • Coordinate changes to Board Ask Us Questions and Responses received from the Board Executive Directors and submit changes to the Webmaster for posting.
  • Assist Supervisor in the collection and routing of Annual Reports and Annual Regulatory Plans.
  • Serve as backup to all professional board office positions in the Division of Professions in conducting Customer Contact Center trainings. Perform additional duties as needed.

Knowledge, Skills, And Abilities

  • Ability to prioritize and organize multiple tasks.
  • Ability to communicate effectively, both oral and written.
  • Knowledge of board functions and licensure procedures.
  • Ability to work independently on recommendations and improvements to program.
  • Ability to understand and apply the Florida Statutes and Florida Administrative Code pertaining to the boards.
  • Knowledge of Versa:Regulation and OnBase.
  • Scheduled work hours for this position are 8:00-5:00.

Minimum Requirements

  • Must have a high school diploma or equivalent education and two (2) years of work experience.

Preferred

  • Two or more years using Microsoft Office Suite.
  • Two or more years experience working in a professional office environment.
  • One or more years' experience in implementing process improvements or coordinating project completion across multiple work units.
