Executive Assistant to the President & CEO Location Hybrid remote in Chapel Hill, NC :

In-Office Requirement:

3 days a week

Position Summary:

The Executive Assistant organizes a professional, productive and efficient day-to-day operation of the office of the ABP President & CEO. This position will serve as the primary point of contact for internal and external constituencies on all matters about the Office of the President. The Executive Assistant will also interact with the Board of Directors and Senior Leadership Team to organize and coordinate executive routine day-to-day activities and special projects. The Executive Assistant must be able to occasionally work under pressure handle multiple activities, manage priorities and handle confidential matters with utmost discretion.

Education and Experience:

  • Bachelor's Degree required.
  • Minimum of five years of executive administrative experience required.

  • Demonstrate the ability to develop positive relationships with all levels of the organization, including the Senior Leadership Team, the Board of Directors, and committee appointees.
  • Ability to work independently, multi-task, manage time wisely, and handle confidential and sensitive material with the highest degree of integrity.

Responsibilities:

Office of the President :

  • Completes various administrative tasks for the President & CEO, including managing calendar appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Works closely and effectively with the President & CEO to inform them of upcoming commitments and responsibilities with an aptitude for anticipation of details and requirements for the CEO roles locally and nationally
  • Serves as liaison for the President & CEO to the ABP & Foundation Board of Directors, Board Executive Committee, and primary contact for the ABP Chair/officers, ensuring that relative communications are properly executed.
  • Oversee ABP Board meetings, prepare agenda and detailed minutes ensuring accuracy of board resolutions, prepare follow-up items ensuring relative activities are executed, and ensure effective management of board records is maintained/archived.
  • Communicate effectively and interact professionally with ABP volunteers, the leadership of ABMS member boards and pediatric organizations/societies, ABP Senior Leadership Team, management, and staff to accomplish the work of the President/CEO effectively/efficiently.
  • Serve as liaison with the American Academy of Pediatrics and coordinate meetings and prepare agendas for biannual meetings.
  • Serve as a liaison with the Federation of Pediatric Organizations to oversee the ABP nomination process for the annual St. Geme Leadership Award.
  • Communicates directly and occasionally on behalf of the President and CEO with the Board of Directors and committee appointees on matters related to the CEO's programmatic initiatives (special projects and committee representation as needed).
  • Oversight of the corporate policies and charter/bylaws (serving as lead of the Charter & Bylaws Committee).

Senior Leadership Team:

  • Coordinate and prepare meeting agenda for Senior Leadership Team meetings.
  • Support the CEOs interaction with the Senior Leadership Team, organizing and coordinating the team's group efforts, including assisting in scheduling, attending, and providing minutes/summaries for all meetings.
  • Coordinate President and Senior Leadership Teams one-on-one touch meetings.
