Job Summary:We are looking for a dynamic, professional, and hardworkingExecutive Assistantto the CEOto join our growing team.TheExecutive Assistant will provide direct professional support to the CEO. This position gives access to learn all areas of the companys operations. This role will work primarily out of the Melville, Long Island office but requires one to two days work out of our Forest Hills, Queens location weekly. Please note this position will start as a leave coverage and in the first quarter of 2025 will transition within the organization to another department. This is a permanent role with a great opportunity to learn and grow within Achieve Beyond. Responsibilities: Assist the CEO with various special projects Organize and respond to CEOs emails and voicemails. Extensive calendar management Screening and interviewing for administrative positions Reconcile executive credit card statements monthly Manage vacation/paid time off or other time requests for direct reports to the CEO Maintain confidentiality of all company and personnel matters Assist with the coordination of travel arrangements, prepare detailed itineraries, and stay on top of all logistics Coordination of meetings including agenda preparation, ordering food, and travel arrangements Follow-ups on pending assignments with the management team Maintain Executive office in order and supplies stocked Responsible for ordering of all company promotional materials Must be flexible to new tasks as needed Our Mission: We believe that all children have potential. Education or Work Experience Requirements: Bachelors degree 1-5 years experience supporting Executive Management or Managerial Experience Demonstrated adaptability and ability to manage change Must be resilient Ability to multitask, problem solve, prioritize and use time efficiently Computer savvy and ability to adapt quickly to new technologies Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, and Word) Ability to adapt to a changing environment or unexpected events Exceptional organizational skills and strong attention to detail Positive attitude, high energy, and confident personality Access to a car is required Excellent written, oral, and interpersonal communication skills Highly self-motivated, self-directed, and attentive to detail Values and mission-driven Loyal individual Focused on supporting those in need of our services. Physical Requirements: Occasionally ascends/descends stairs going to, while at, or leaving work location or facilities traveled to for work events. Occasionally moving and/or lifting objects at work weighing up to 20 pounds. Must be able to remain in a stationary position for prolonged periods of time up to 90% of the workday working on a computer/electronic device. The ability to observe details at close range (within a few feet of the observer). The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
