Job Description
Executive Assistant to the CEO / Office Manager for a real estate corporation in the Delray Beach area. This position will provide support to the CEO and manage the day-to-day office operations (such as vendor relations, IT issues, office supplies, etc.).
This is a DIRECT HIRE position and is available IMMEDIATELY!!! The hours are Monday-Friday 8:30am-5:30pm with the flexibility to work overtime.
RESPONSIBILITIES:
- Manage professional calendar for the CEO
- Plan and coordinate domestic and international travel arrangements
- Prepare correspondence and presentations
- Manage logistics for board and staff meetings and conference calls
- Attend staff meetings; prepare and distribute meeting minutes
- Process expense reports; maintain filing systems
- Track all follow-up items
- Oversee daily office operations including ordering office supplies, fix IT issues (printers, computer not connecting to network, etc.)
- Handle some personal matters for the CEO as needed
REQUIREMENTS:
- Must have a minimum of 5 years assisting a C-level Executive
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook and Teams)
- Experience managing a small office is a strong plus
- Must be a polished professional with outstanding verbal/written communication skills
- Ability to assess, evaluate and solve problems; must exercise good judgment
- Candidate must be detailed-oriented; have the ability to multi-task and meet deadlines
- Superior telephone etiquette
- Ability to work well under high pressure and time constraints
