Executive Administrative Assistant to the President Location Crawfordsville, IN :

Title: Executive Administrative Assistant to the President

Status: Salaried, exempt

Reports To: Chief of Staff and President

The Executive Administrative Assistant to the President is directly responsible for carrying out special administrative tasks in support of the President, Chief of Staff, the President's Office, and the Board of Trustees. This position requires a highly organized, responsible, and multi-talented individual to provide high-level administrative and managerial support for the President. Reporting jointly to the Chief of Staff and the President, the Executive Administrative Assistant to the President is a full-time, salaried position with full benefits. The position requires the ability to work some nights and weekends in concert with the President's schedule and the natural rhythms of the College's calendar. The person in this position will:

1. Serve as the President's liaison with College faculty and staff, students, alumni, and the wider public as assigned by the President or Chief of Staff, including:

  • Perform a wide variety of complex assignments of a critical and/or confidential nature, frequently exercise discretion and independent judgment on significant matters, and make decisions on behalf of and in consultation with the President and Chief of Staff.
  • Manage the President's professional and personal calendars, including regular meetings with the senior staff and coordinating with Advancement and others to arrange his off-campus travel.
  • Compose letters and reports and edit drafts and final copies as needed of documents prepared by the Chief of Staff for the President's signature.
  • Anticipate problems, critical issues, and other opportunities as they arise and advise the President accordingly.

2. In service of the Board, the Executive Administrative Assistant will:

  • Work with the Secretary of the College to prepare agendas and notices of scheduled Board meetings and distribute them accordingly.
  • Manage the RSVPs and arrange for lodging for Board of Trustees for regular meetings and when on campus for special visits.
  • Work with Bon Appetit to generate meal menus and provide appropriate arrangements for Board meetings and other special events related to the Trustees.

3. Working with the Chief of Staff and others, collect and compile information needed by the President for various meetings and appearances.

4. Working with personnel in the Advancement Office, arrange and coordinate necessary travel reservations, itineraries, and briefings for the President.

5. Working with the Chief of Staff, manage and track the President's correspondence and prepare correspondence and memos independently or from written and oral instructions.

6. Plan and make arrangements for appointments and meetings required of the President.

7. Working with the Chief of Staff, maintain the President's calendar and assist in planning and prioritizing the President's workday, screening visitors, telephone calls, and mail, while maintaining a high level of professionalism and confidentiality.

8. Working with the First Lady, Bon Appetit, or local catering to arrange and prepare for receptions, special occasions, and picnics hosted by the President's Office.

9. Create, organize, and maintain files of the President's Office, using discretion and maintaining a high degree of confidentiality.

10. Coordinate meetings with Senior Staff and collaborate with Senior Staff Administrative Assistants when necessary.

11. Work independently on special projects for the President and the Chief of Staff.

12. Perform other duties as assigned by the President or the Chief of Staff.

Skills Required:

  • A minimum of five years of experience in a senior administrative assistant's role, preferably in an educational setting.
  • Keen attention to detail and the ability to complete multiple tasks simultaneously and work independently.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), and learn other systems used by the College (Wufoo, Colleague).
  • Knowledge of office and administrative practices and principles.
  • Excellent organizational and communication skills, including the ability to communicate clearly and concisely with tact, patience, and courtesy orally and in writing.
  • Immaculate skills in English grammar, spelling, punctuation, and proofreading.
  • Maintain a high degree of discretion when dealing with confidential information.

Education: A bachelor's degree is required.
