Team Overview
Our Events team creates impactful experiences that bring ADF’s mission to life. We design, plan, and execute high-quality events that foster connection, engagement, and growth. With a focus on attention to detail, collaboration, and excellence, we work together to deliver seamless events that inspire and support ADF’s strategic objectives.
Key Responsibilities
Event Execution: Travel to event sites to execute exceptional events that meet ADF’s gold standard.
Venue Coordination: Research, visit, and select off-site venues that do not require hotel contracts, gathering resources to inform event decisions.
Logistics & Vendor Management: Book event spaces, arrange food and beverage, order supplies, coordinate travel, and ensure appropriate décor to meet ADF’s quality expectations. Serve as a liaison with vendors and all ADF teams involved in event-related matters.
Event Registration & Technology: Create and maintain CVENT event management, including coordinating invitation designs and completing the registration setup process.
Audio Visual Coordination: Communicate event A/V needs to the A/V Production Manager and work as a team to ensure minimal technical difficulties.
Planning & Budget Management: Work with the Event Host and Events Manager to stay within the event budget while ensuring excellence in execution.
Attendee Experience & Problem-Solving: Anticipate attendee and event logistics needs, provide high-quality customer service, and quickly find solutions to any service or program-related issues.
Process Improvement: Develop and apply new ideas to enhance the event planning and implementation process.
Travel Coordination: Monitor travel alerts to ensure preparedness and timely arrival at events. Coordinate faculty, attendees, or event logistics as needed.
