Job Title: Administrative Assistant in Athletics

Reporting Relationship: Associate Athletic Director

Unit: IWU-Marion

Department: Intercollegiate Athletics-IWU Marion

Campus Location: Recreation & Wellness Center

Summary of Position: Provide support for 22 varsity athletic programs, 550+ student-athletes, and 65+ staff within IWU Athletics

Duties and Responsibilities

  • Serve as primary greeter and receptionist for the athletic department office
  • Determine job responsibilities and work loads of all athletic department front desk student workers
  • Train, supervise, evaluate and process payroll for athletic department front desk student workers
  • Support the administrative needs for Associate Athletic Directors and coaches as needed and appropriate based on time availability
  • Process check requests, reimbursements, journal entries and invoices
  • Work with Office Manager & Assistant to the Director of Athletics on centralized office supply space and ordering
  • Organize and maintain all office files (physical and computer files) related to the overall administration of Athletic Department
  • Maintain and update Employee Directory both internal and external for the full athletic department
  • Reconcile monthly accounting and credit card reports for Vice President
  • Process scheduling requests for coaches and administrators through 25live
  • Process scheduling requests for athletic spaces with campus and external partners
  • Process coach and departmental credit cards once files are uploaded
  • Perform other duties as assigned by the Associate Athletic Director for Internal Operations, Office Manager & Assistant to the Director of Athletics, and Director of Athletics

Education

  • Associate's degree required; Bachelor's preferred

Experience

  • Experience in customer service, preferably within higher education
